What this portal is

The Palm Cay Development Receivables & Cash Flow Portal is a private platform operated by Dinmore Bell for Palm Cay Development Company Ltd (“PCD”). It is not a consumer product and has no public sign-up; access is limited to authorised people at PCD and at Dinmore Bell.

What we process, and why

The portal processes what is needed to manage PCD’s property sales receivables and cash flow: buyers’ names and contact details and the terms of their sales agreements; the documents filed against each contract; financial records read from PCD’s own QuickBooks Online company (customers, invoices, payments, credit notes, bills, items and accounts); and, for the people who use the portal, their email address, sign-in history and a record of what they viewed and changed, with the address and browser they used.

QuickBooks data

With PCD’s authorisation, the portal connects to PCD’s QuickBooks Online company through Intuit’s API, read only. QuickBooks data is used solely to show PCD what has been invoiced and collected and to forecast its cash flow. It is never sold, shared for anyone else’s purposes, used for advertising, or used to train any artificial intelligence; the portal has no AI features. Disconnecting QuickBooks stops all access and destroys the portal’s access tokens.

Where data lives, and how it is protected

Data is stored with Supabase (database and file storage) and served by Vercel, both in the United States, encrypted in transit and at rest. QuickBooks access tokens are additionally encrypted by the portal. Every user signs in with a password and a second factor; every record is restricted to the organisation and role it belongs to; documents are never public and open only through links that expire within a minute; and every view of a contract or document is logged.

Sharing

Information is shared only with PCD, its professional advisers where PCD asks, and the providers that run the portal’s infrastructure (Supabase, Vercel and, for QuickBooks, Intuit), each only as far as needed. No data is sold.

Keeping and correcting records

Records are kept for the duration of the engagement and handled at its end as the engagement provides. Inaccurate records are corrected; because the portal keeps a full history, a correction is added rather than the earlier entry erased. Failed sign-in attempts are kept for one day, as a protection against password guessing, and then removed.
